ADMINISTRATIVE CO-ORDINATOR
As our Administrative Co-ordinator, you will create a warm and inviting atmosphere for our clients as they’re welcomed into our space. Customer experience is at the forefront of everything we do and as our Administrative Co-ordinator, you will plan an integral role in setting the tone off right. This is not a one-dimensional position – we’re looking for someone who enjoys wearing many hats and taking on new challenges.
THE ROLE:
- Greet customers as they enter the building and direct them to the appropriate division in a friendly and inviting manner.
- Disperse phone calls in an often busy and dynamic environment.
- Monitor and maintain office supplies inventory.
- Engage with staff at all levels of the organization by phone, email and in person.
- Manage a shared Outlook inbox for internal and external customer communications, adhering to quick turnaround response times.
- Assist with the completion of a full sales cycle from receiving to invoicing stages within the BisTrack system.
- Assist in basic sales transactions.
- Sort and distribute incoming mail.
- Electronic scanning of documents.
QUALIFICATIONS REQUIRED:
- High school diploma
- Post-secondary is an asset but not required.
- 1 – 2 years of general office experience.
- Experience with Microsoft Office (Outlook, Excel, Teams)
- Previous exposure to BisTrack an asset.
- Continuous improvement mindset.
- Proactive and self-motivated
- Strong communication and telephone skills
- Knowledge of building material terminology as asset.

CREW LEAD – CONSTRUCTION (Olympic Buildings – Regina)
Duties
- Ensure Safety Procedures are adhered to by all individuals on site.
- Handle on-site material shortage/overage issues.
- Keep open lines of communication with all crew foremen.
- Required to address or perform any deficiency work.
- Co-ordinate sub trades in conjunction with fellow Project Coordinators
- Become proficient at computer programs used in Buildings Department.
- Perform site clean ups and return unused materials for your designated projects.
- Communicate site progress to office staff in a timely fashion.
- Install site signs.
- Maintain a positive relationship with all staff and sub trades using good communication skills.
- Encourage and motivate crews to ensure deadlines are met.
- Organize/Manage crews to ensure construction is smooth and continuous.
- Coordinate sub trades for Buildings SK in conjunction with fellow Project Coordinators
- Coordinate material shipments for Buildings SK in conjunction with fellow Project Coordinators
- Submit timesheets & process Wcb forms

- Perform site clean ups.
- Maintain a positive relationship with all staff.
- Must be willing to travel for extended periods.
- Drivers license.
